Share a work Google Calendar with personal Gmail
Google Calendar Help says you can share any calendar you own, and that if the calendar is for work or school, your administrator decides whether you can share it. Do this from a computer. Google Calendar Help documents sharing in a web browser, not in the Calendar app.
To overlay the work calendar on your personal account:
- Sign in to the work Google account. On the left, find the calendar under My calendars. To the right of it, open Settings and sharing.
- On the left, click Shared with, then Add people and groups. Enter your personal Gmail address.
- Choose See only free/busy (hide details) if the personal account should only see when you are busy, or See event details if it should see names, times, places, and descriptions. Company policy usually favors free/busy.
- Click Send. The personal account gets an email. Open that email and add the calendar. It appears under Other calendars.
If you cannot find the email, Google Calendar Help says to check the address, look in spam or trash, search for the message, or remove the person and add them again.
What sharing does not do
- It is a view. Work events stay on the work calendar. They do not become events on the personal calendar.
- People booking the work calendar still see that calendar. A personal overlay does not hold time for colleagues.
- Work or school admins can limit or block external sharing. They can also limit outsiders to free/busy.

If sharing is blocked or limited to free/busy
Ask IT, and follow company policy first. Google Calendar Help says your administrator decides whether you can share a work or school calendar. Google Workspace Admin Help says admins control how much calendar information people can share outside the organization, including limiting outsiders to free/busy.
- If you can share only as free/busy, that is still enough to see when work is booked on the personal account. You will not see meeting names.
- If you cannot share outside the organization at all, do not export confidential event details to a personal account to work around it. That is a policy question for your employer, not a Google Calendar setting you should bypass.
- A secret address in iCal format may also be hidden when an admin changes sharing settings. Google Calendar Help says to ask your admin if you cannot find it.
If both Google accounts can sign in and grant calendar access, Resync can write Busy holds without the calendars being shared with each other. That still copies busy time onto a personal Google calendar, so check company policy before you connect a work account.

Add a work Outlook calendar
Microsoft documents a different path for Microsoft 365 or Outlook on the web: publish the calendar and let someone subscribe to the ICS link. Sharing an Outlook invitation to Gmail is not the same. Microsoft says when you share with someone who is not using Outlook on the web, for example someone using Gmail, they can only accept the invitation with a Microsoft 365 or Outlook.com account.
- In Outlook on the web, open Calendar settings, then Shared calendars. Under Publish a calendar, choose the calendar and how much detail people can see, then publish and copy the ICS URL.
- In personal Google Calendar, add that URL under Other calendars. Google Calendar Help says you add a calendar from URL on a computer, not in the Calendar app.
What a published Outlook ICS feed does not do
- Microsoft documents that HTML and ICS calendars are read-only. Edits in Google Calendar do not write back to Outlook.
- How often the ICS calendar syncs depends on the recipient's email provider. Google Calendar Help does not publish a refresh interval you can set.
- Calendar sharing may not be available, or may be limited to people in your organization, depending on organization settings. Some organizations disable publishing.
The full Outlook and Google ICS steps, including the other direction, are in the Outlook guide. Resync does not connect Outlook or Microsoft 365. It writes Busy holds on Google calendars only.

The other direction: block work with personal time
Adding the work calendar to personal Gmail only shows work on the personal view. Colleagues booking the work calendar still see that calendar. A personal dentist appointment does not appear there unless you also hold the time on work.
Google's free/busy share is a view, not a block on the other calendar. To hold personal time on work without sharing event names, see the busy-time guide. To stop double-booking across the two Google calendars, see the avoid double booking guide. When both calendars should show private Busy holds, mark each as a source and a mirror in Resync.
When to sync Busy holds with Resync
Use sharing or a URL subscription when you only need to see the work calendar on the personal account. Use Resync when each Google calendar others book should treat the other account's busy time as busy.
Resync does not share calendars with each other. It reads when you are busy on Google calendars you mark as sources and writes hold events onto Google calendars you mark as mirrors. $1.50/month or $9/year after a 30-day free trial, no credit card required.
- Holds are titled Busy. Description, location, attendees, and conference data are left empty, so source meeting details stay on the source calendar.
- When you mark calendars as both source and mirror, a booking on either calendar becomes a Busy hold on the others. That is two-way blocking between those Google calendars.
- If a source event moves, Resync updates the hold. If the event is cancelled, marked free, declined, or is a working-location event, Resync does not keep a hold.
- Resync looks 90 days ahead when it reads source events. Holds it writes are marked so they are not copied again.
- Resync watches source calendars and updates holds when those events change. A polling fallback also runs about every 5 minutes.
- If you delete or edit a hold, Resync records that and does not recreate it for the same source event on that mirror.
- Read-only calendars cannot be mirrors. Resync currently syncs Google calendars only.
Set up Resync
- Sign in with GoogleOpen Resync and sign in with the Google account you want as your primary account. You land on setup.
- Connect another Google accountChoose Connect another Google account and finish Google's permission screen. Resync needs at least two Google accounts before you can start.
- Start syncingWhen a second account is connected, setup shows bidirectional mirroring as the intended default: real events on either side become private busy blocks on the other. Choose Start syncing to open the dashboard.
- Mark sources and mirrorsIn Sync configuration, turn on Source to read busy time from a calendar and Mirror to receive Busy holds. A calendar can be both. Read-only calendars cannot be mirrors because Resync needs write access to create holds.
Privacy and company policy
Do not copy confidential work event details onto a personal account. See event details, a secret iCal address, and a full-detail published ICS link all expose names and other fields that may be internal. Busy holds avoid that: the personal calendar gets a block titled Busy, not the meeting name.
- Copied by Resync: start time, end time, and time zone. The hold is titled Busy and marked so Resync can find it later.
- Not copied: source title, description, location, attendees, conference data, or attachments. Those stay on the source calendar.
- Not mirrored: events marked free, events you declined, and working-location events. Holds Resync already wrote are skipped so Busy blocks are not copied back.
- If you delete or edit a hold, Resync records that change and does not recreate a hold for the same source event on that mirror.
- People with free/busy access on the mirror see a Busy block. People who can see event details still see the title Busy, not the source meeting name. If the source event is Private, the hold is Private. Otherwise the hold uses default visibility.
- Google says you should not give the secret iCal address to other people. Anyone with a published Outlook ICS link can subscribe. Check company policy before you publish a work calendar or connect a work Google account to a personal tool.
Troubleshooting
Calendar not showing up
- The personal account has to add the calendar from the share email. Sharing alone does not overlay it until that click.
- Check spam or trash, confirm the personal Gmail address, or remove the person and add them again.
- You are signed in to the personal account when you look. A calendar.google.com tab is one Google Account.
URL calendar not updating
- Google Calendar Help does not publish a refresh interval you can set for a From URL subscription. People commonly report that those feeds update after hours, not minutes.
- Microsoft says how often an ICS calendar syncs depends on the recipient's email provider.
- Google Calendar Help says you add a calendar from URL on a computer. You cannot subscribe in the Calendar app.
Can't share outside organization
- That is an admin setting, not a missing button on your side. Google Workspace Admin Help documents external sharing limits, including free/busy only.
- Ask IT. Follow company policy. Do not export event details to a personal account to bypass the restriction.
Phone not showing it
- Subscribe or add the shared calendar on a computer first. Google Calendar Help says you cannot subscribe to a calendar in the Android or iPhone app. After the owner approves, the calendar appears in the app.
- In the Calendar app, tap Menu and select the calendar in the grid. Fix sync problems if it is still missing: on Android, Menu → Settings, open the calendar (Show more if needed), and turn Sync on.
- Confirm the app is signed in to the personal Google account that received the share, not only the work account.

FAQ
Can I add my work Google Calendar to my personal Google Calendar?
Yes, if your Workspace admin allows sharing outside the organization. From the work account, open the calendar's Settings and sharing, add your personal Gmail, and choose See only free/busy or See event details. Add it from the invite email. It shows under Other calendars on the personal account. That is a view. It does not write work events onto the personal calendar, and the admin may limit you to free/busy or block sharing.
How do I add a work calendar to Google Calendar?
For a Google Workspace calendar, share it with the Google account you want it on, then add it from the invite email. You can also copy the secret address in iCal format and add that URL under Other calendars. A URL subscription is read-only and refreshes on Google's schedule, not instantly. For a Microsoft 365 or Outlook work calendar, publish an ICS link in Outlook and subscribe to that URL in Google Calendar. Resync can write Busy holds between Google calendars you can sign in to. It does not connect Outlook.
How do I add a work Outlook calendar to my personal Google Calendar?
In Outlook on the web, open Calendar settings, Shared calendars, and publish the calendar. Choose how much detail the ICS link includes, then copy that URL. In personal Google Calendar, add it from URL under Other calendars. Microsoft documents that HTML and ICS calendars are read-only, and that how often the ICS feed syncs depends on the recipient's email provider. Some organizations disable publishing. Sharing an Outlook invitation to Gmail is not the same as publishing: Microsoft says the invitee can only accept with a Microsoft 365 or Outlook.com account.
What is the best way to sync work and personal calendars?
It depends on what you need. Share or subscribe when you only need to see the work calendar on your personal account. Those overlays do not block colleagues on the work calendar, and URL feeds are delayed. Use Resync when both Google calendars stay active and each calendar others book should show private Busy holds. Resync does not copy event details and does not sync Outlook. $1.50/month or $9/year after a 30-day free trial, no credit card required.
Does sharing a work calendar let me edit it from personal Gmail?
Only if you were granted Make changes or Make changes and manage sharing. See only free/busy and See event details are view access. Work or school admins can limit or turn off those permissions, including limiting outsiders to free/busy. A secret iCal or published ICS subscription is read-only.
Does Resync copy work event details onto my personal calendar?
No. Resync writes holds titled Busy. Description, location, attendees, and conference data stay empty. Free, declined, and working-location source events do not get a hold. Resync currently syncs Google calendars only. It does not connect Outlook or Microsoft 365.
Connect the Google calendars you want to keep aligned, then mark sources and mirrors on the dashboard.
Resync will ask Google for permission to:see your list of calendars; see events on the calendars you choose as Sources, to know when you're busy; and create, update and delete events titled "Busy" on calendars you choose as Mirrors. We never store event titles, attendees or locations. Privacy policy
