Calendly double booking: why it happens and how to stop it

Short answer: Calendly (and similar booking links) only avoid conflicts on the calendars you have connected and selected for conflict checking. A meeting on a second Google account, a calendar that is not ticked, or an event marked Free still looks bookable. Calendly can also allow overlapping bookings if you set it to book over certain events.

Fix it in Calendly first: connect every calendar your plan allows, tick calendars to check for conflicts, keep real meetings Busy, and add buffer times or meeting limits if you want padding. On plans that allow more than one calendar account, that may be enough.

Use Resync when a meeting still lives on a Google calendar Calendly cannot see. Resync writes private holds titled Busy onto the one calendar your booking tool already checks, so Calendly, Google Calendar appointment schedules, or any other tool reading that calendar sees you as busy without event details. $1.50/month or $9/year after a 30-day free trial, no credit card required.

Why Calendly double-books

Calendly Help says connecting a calendar lets it check busy times and avoid double bookings. That only applies to calendars it can read. People get double-booked when the conflicting meeting is somewhere Calendly is not looking.

  • A second Google account — personal versus work, or a client workspace — that you have not connected.
  • A calendar on a connected account that is not ticked under Calendars to check for conflicts.
  • An event marked Free (transparent). Calendly Help says it marks you unavailable for events marked Busy. Free events stay bookable.
  • All-day events. Calendly Help says an all-day event marked Busy can block the whole day, and that you should mark holidays Free if you want to stay available. Many holiday calendars default to Free, so they do not hold the day.

Fix it in Calendly first

Start with the calendars Calendly already supports. On plans that let you connect every calendar you book against, you may not need another tool.

To connect your Google Calendar:

  1. Go to Settings → Scheduling → Calendars.
  2. Select Connect next to Google Calendar, or + Connect calendar account to add another Google account.
  3. Sign in to Google and return to Calendly.
  4. Under Calendars to check for conflicts, tick every calendar that should block new bookings. Choose one Calendar to add events to.

Calendly Help also documents Availability → Calendar settings as the path to connect a calendar. The product labels can move; use whichever calendar settings page you see.

How many calendar accounts you can connect depends on your plan. Calendly Help says that is between one and six accounts per user. This page does not list Calendly prices. If your plan allows more than one account, connect each Google account you actually get booked on and tick those calendars for conflicts.

If your plan allows only one calendar, Calendly Help says you can share other calendars with the account you have connected, with read and write access so Calendly can view them. Those events still have to appear as Busy on a calendar Calendly is checking.

Then tighten the booking page itself. In the event type, open More options:

  • Limits and buffers: add time before or after meetings so a 30-minute call is not stacked against another Busy block.
  • Meeting limits: cap how many times that event type can be booked per day, week, or month.

What Calendly still cannot see

  • A calendar account you did not connect, or a calendar you did not tick for conflicts.
  • Events marked Free. Changing those to Busy in Google Calendar is what tells Calendly you are unavailable.

When Calendly allows double booking

Yes, it can. Calendly is built to prevent overlaps on calendars it checks, but it will still offer a time when you tell it to ignore a conflict or when it never saw the meeting.

  • Free/busy rules let invitees book over selected events on a connected calendar. That is an intentional overlap.
  • Events marked Free stay bookable, even on a calendar Calendly checks.
  • A meeting on an unconnected account, or on a calendar that is not ticked for conflicts, never becomes a conflict.

So: Calendly can prevent double booking on the Busy events it can see. It can also allow double booking when you set it to book over events, mark events Free, or leave a calendar unchecked.

When Resync helps

Use Calendly's own connections when every calendar you care about can be connected and ticked there. Use Resync when a Google calendar still sits outside that set — a personal Gmail calendar next to a work account, a client workspace you cannot OAuth into Calendly, or a plan that only allows one calendar account.

Resync does not connect to Calendly. It reads when you are busy on Google calendars you mark as sources and writes hold events onto Google calendars you mark as mirrors. Point the mirror at the calendar your booking link already checks. $1.50/month or $9/year after a 30-day free trial, no credit card required.

  • Holds are titled Busy. Description, location, attendees, and conference data are left empty, so source meeting details stay on the source calendar.
  • When you mark calendars as both source and mirror, a booking on either calendar becomes a Busy hold on the others. That is two-way blocking between those Google calendars.
  • If a source event moves, Resync updates the hold. If the event is cancelled, marked free, declined, or is a working-location event, Resync does not keep a hold.
  • Resync looks 90 days ahead when it reads source events. Holds it writes are marked so they are not copied again.
  • Resync watches source calendars and updates holds when those events change. A polling fallback also runs about every 5 minutes.
  • If you delete or edit a hold, Resync records that and does not recreate it for the same source event on that mirror.
  • Read-only calendars cannot be mirrors. Resync currently syncs Google calendars only.

Any booking tool that already checks that mirror calendar then sees the hold. That includes Calendly and Google Calendar appointment schedules. The avoid double booking guide covers the same Busy-hold pattern without a booking link.

Set up Resync

  1. Sign in with GoogleOpen Resync and sign in with the Google account you want as your primary account. You land on setup.
  2. Connect another Google accountChoose Connect another Google account and finish Google's permission screen. Resync needs at least two Google accounts before you can start.
  3. Start syncingWhen a second account is connected, setup shows bidirectional mirroring as the intended default: real events on either side become private busy blocks on the other. Choose Start syncing to open the dashboard.
  4. Mark sources and mirrorsIn Sync configuration, turn on Source to read busy time from a calendar and Mirror to receive Busy holds. Mark the calendar your booking tool checks as a mirror. Read-only calendars cannot be mirrors because Resync needs write access to create holds.

What is and isn't copied

Resync copies the source event's start and end so the hold occupies the same window. It does not copy meeting details.

  • Copied: start time, end time, and time zone. The hold is titled Busy and marked so Resync can find it later.
  • Not copied: source title, description, location, attendees, conference data, or attachments. Those stay on the source calendar.
  • Not mirrored: events marked free, events you declined, and working-location events. Holds Resync already wrote are skipped so Busy blocks are not copied back.
  • If you delete or edit a hold, Resync records that change and does not recreate a hold for the same source event on that mirror.
  • People with free/busy access on the mirror see a Busy block. People who can see event details still see the title Busy, not the source meeting name. If the source event is Private, the hold is Private. Otherwise the hold uses default visibility.

FAQ

Does Calendly allow double booking?

It can. Calendly Help says you can set Free/busy rules so invitees book over selected events on a connected calendar. Events marked Free on a connected calendar also stay bookable. A meeting on a calendar Calendly is not checking looks free too.

Does Calendly prevent double booking?

Calendly Help says connecting a calendar lets it check busy times and avoid double bookings on the calendars you select under Calendars to check for conflicts. It does not see calendars you have not connected or ticked, and it does not treat Free events as busy.

Why does Calendly double-book me?

Usually because the conflicting meeting lives on a calendar Calendly cannot see: a second Google account, a calendar that is not ticked for conflict checking, or an event marked Free. All-day events marked Busy can block a whole day; marked Free they do not.

How do I stop Calendly from double booking?

First connect every calendar account your plan allows, tick them under Calendars to check for conflicts, and keep real meetings Busy. Add buffer times and meeting limits if you want padding. If Calendly still cannot see a calendar, use Resync to write Busy holds onto the calendar your booking link checks.

When should I use Resync with Calendly?

Use Resync when a meeting lives on a Google calendar you cannot or do not want to connect to Calendly — a personal account, a client workspace, or a plan that only allows one calendar account. Resync writes private holds titled Busy onto the calendar Calendly already checks. $1.50/month or $9/year after a 30-day free trial, no credit card required.

Does Resync copy event titles onto the calendar Calendly checks?

No. The hold is titled Busy. Description, location, attendees, and conference data are left empty. Free, declined, and working-location source events do not get a hold. Read-only calendars cannot be mirrors.

$1.50/month or $9/year after a 30-day free trial, no credit card required. Connect the Google calendar your booking link checks as a mirror, and mark the calendars it cannot see as sources.

Resync will ask Google for permission to:see your list of calendars; see events on the calendars you choose as Sources, to know when you're busy; and create, update and delete events titled "Busy" on calendars you choose as Mirrors. We never store event titles, attendees or locations. Privacy policy
