Ways to show and check availability
These are the controls Google Calendar Help documents. Sharing and working hours are set on a computer. Appointment schedules are also created on a computer. If Help does not name a menu, this table says so.
| Method | Who can see it | Needs Workspace | Shows details or just busy | Best for |
|---|
| Share See only free/busy | People or groups you add, everyone in your organization if you turn on Make available for that org, or anyone if you turn on Make available to public. | No. Personal and work or school accounts can share with specific people. Make available for your organization is a work or school control. An administrator can limit sharing. | See only free/busy (hide details) shows when you are busy. It hides names and other details. See event details shows titles. | Let colleagues or a client see open time on this calendar without sharing what the events are. |
|---|
| Find a time / View schedules | You, when you create an event and add guests who have shared their calendars with you, or whose calendars are available to your organization or the public. | Find a time on a computer is not labeled Workspace-only. Suggested times needs an eligible Workspace plan and is documented on a computer, not in the Calendar app. On Android, Invite people Help says a Find a time button may appear on a work, school, or group account. | You see guest free/busy based on the permission they granted. Side-by-side Day view is a computer setting after you subscribe to their calendar. | Pick a meeting time against people who already shared, including rooms on a work or school account. |
|---|
| Appointment schedule | Anyone with the booking page link. Slots hide when Check calendars for availability is on and a checked calendar has a Busy event. | A personal Google Account can create a booking page. Checking secondary calendars needs an eligible Workspace or Google One plan. Full setup is in the appointment-schedule guide. | Bookers see open slots, not your event titles. The schedule title is visible on the booking page. | Send a bookable link so people pick a slot. This is not a group poll. |
|---|
| Working hours and location | People scheduling with you on a work or school account. Working location helps collaborators find meeting times and your local time zone. | Yes. Help documents working hours for work or school accounts. You turn them on from a computer. An administrator can hide the setting. | Shows your usual available hours. It does not create Busy events or hide event titles. | Tell people when you are usually unavailable. Use the working-hours guide for setup and fixes. |

How to check someone's availability
Someone else's availability is visible only after they share that calendar with you, make it available to your organization, or make it available to the public. If they have not shared, Find a time Help says you can send a request to share. After they share, you get an email confirmation. You do not see titles unless they granted See event details or higher.
Personal Google accounts and work or school accounts use the same Find a time path on a computer. Work or school accounts can also share with the whole organization, and people in that organization can use Search for people. A personal Gmail calendar is not in a work directory. Rooms and other resources need a work or school account. A personal @gmail.com account cannot add organization Rooms. Help instead points that account to creating a regular calendar for a shared space.
- On a computer, open Google Calendar. Click Create, then Event. Add guests. Click Find a time. Help says you can compare availability for up to 50 guests. Guests must have shared their calendars with you.
- Optional on a computer: if you have an eligible Workspace plan, click Suggested times. Help says you cannot get suggested times in the Calendar app for Android, iPhone, or iPad, or when the event is longer than 8 hours, has too many attendees, or the date range is in the past.
- Optional on a computer: after you subscribe to someone's calendar, turn on View calendars side by side in Day View under Settings, then View options. Stay in Day view.
- In the Android or iPhone and iPad Calendar app, create an event, tap Add people, add guests, then tap View schedules. Help says you cannot add other people's calendars from the app. Add them on a computer first. Invite people Help on Android says a Find a time button may appear after you add guests if your account is through work, school, or another group.
- To check a room on a work or school account, click Add rooms or Add room booking. If the room is selected but its schedule is missing, click Filter and view, then Show rooms. Help says Calendar can check room conflicts up to 12 months ahead.

Availability poll
Google Calendar Help does not document a built-in group availability poll. There is no Help page for sending several time choices and collecting votes inside Calendar.
Help does document two nearby tools. An appointment schedule is a booking page of slots you publish. Other people pick one time. That is not a poll. Propose a new time is for an invitation that already exists. On a computer, open the event, click the down arrow next to Maybe, then Propose a new time. You can add a message. Help says you cannot propose a new time for all-day events or events with more than 200 guests.

Why my availability looks wrong
Other people and booking pages only see the calendars they can access or that the tool checks. An event that looks busy to you can still look free to them.
| What you see | Likely cause | Fix |
|---|
| Event marked Free | A Free event does not occupy the time. Appointment-schedule Help still shows those slots when Check calendars for availability is on. | Open the event and mark it Busy if it should block Find a time, free/busy, or a booking page that checks that calendar. Visibility (Default, Public, Private) is a different control. |
|---|
| All-day event looks free | Appointment-schedule Help only hides that day's slots when the all-day event is set to Busy. Help does not document an all-day default of Free or Busy. | Open the all-day event and confirm it is marked Busy if the day should be unavailable. Confirm Busy or Free on the event rather than assuming a default. |
|---|
| Declined event | Appointment-schedule Help hides slots for Yes or Maybe replies on calendars reviewed for conflicts. A declined event does not block those slots. | Accept the event if it should occupy the time. Resync also skips a source event you declined, so no Busy hold is written for it. |
|---|
| Event on another account or calendar | People and booking pages only see calendars they can access or that the tool checks. A personal Gmail calendar or a second work account stays invisible. | Share that calendar as See only free/busy for a view, include it in Check calendars for availability if the same account can see it, or use Resync to write Busy holds onto the calendar others already check. |
|---|
| Calendar not shared with that person or org | Find a time Help says guests must have shared their calendars with you. If the calendar is not shared with that person, your organization, or the public, they cannot check it. | On a computer, open Settings and sharing. Add that person under Shared with, or turn on Make available for your organization or Make available to public. They need to click the email link. |
|---|
| Time zone mismatch | Events appear in each person's local time zone. If your primary time zone is wrong, the hours you look free or busy shift for you and for people comparing calendars. | On a computer, open Settings, then Time zone, and set Primary time zone. The time-zone guide covers travel and extra time zones. |
|---|
| Working hours not set | Working hours tell people when you are usually available. They do not create Busy events. If they are off, others only see your events, not your usual unavailable hours. | On a computer, open Settings, then Working hours, and enable them on a work or school account. That does not block time on another Google account. |

Event marked Free
- Likely cause
- A Free event does not occupy the time. Appointment-schedule Help still shows those slots when Check calendars for availability is on.
- Fix
- Open the event and mark it Busy if it should block Find a time, free/busy, or a booking page that checks that calendar. Visibility (Default, Public, Private) is a different control.
All-day event looks free
- Likely cause
- Appointment-schedule Help only hides that day's slots when the all-day event is set to Busy. Help does not document an all-day default of Free or Busy.
- Fix
- Open the all-day event and confirm it is marked Busy if the day should be unavailable. Confirm Busy or Free on the event rather than assuming a default.
Declined event
- Likely cause
- Appointment-schedule Help hides slots for Yes or Maybe replies on calendars reviewed for conflicts. A declined event does not block those slots.
- Fix
- Accept the event if it should occupy the time. Resync also skips a source event you declined, so no Busy hold is written for it.
Event on another account or calendar
- Likely cause
- People and booking pages only see calendars they can access or that the tool checks. A personal Gmail calendar or a second work account stays invisible.
- Fix
- Share that calendar as See only free/busy for a view, include it in Check calendars for availability if the same account can see it, or use Resync to write Busy holds onto the calendar others already check.
Calendar not shared with that person or org
- Likely cause
- Find a time Help says guests must have shared their calendars with you. If the calendar is not shared with that person, your organization, or the public, they cannot check it.
- Fix
- On a computer, open Settings and sharing. Add that person under Shared with, or turn on Make available for your organization or Make available to public. They need to click the email link.
Time zone mismatch
- Likely cause
- Events appear in each person's local time zone. If your primary time zone is wrong, the hours you look free or busy shift for you and for people comparing calendars.
- Fix
- On a computer, open Settings, then Time zone, and set Primary time zone. The time-zone guide covers travel and extra time zones.
Working hours not set
- Likely cause
- Working hours tell people when you are usually available. They do not create Busy events. If they are off, others only see your events, not your usual unavailable hours.
- Fix
- On a computer, open Settings, then Working hours, and enable them on a work or school account. That does not block time on another Google account.
For Busy versus Free on one event, see the busy vs free guide. For times that look shifted, also check Change your time zone. Event visibility (Default, Public, Private) hides or shows details. It does not change whether the time is occupied.

How Resync fits
Use Google sharing when people should view free/busy on one calendar you already own. Use Find a time when guests have shared that calendar. Use an appointment schedule when people should book a slot on that same Google account. Resync does not share a calendar and does not create appointment schedules. It does not create Find a time. It does not sync Outlook, Apple Calendar, or iCloud.
Use Resync when your events live in two or more Google accounts. Resync uses the Google Calendar API with the accounts you connect. It reads calendars you mark as Source and writes Google-only private Busy holds onto calendars you mark as Mirror. Holds are titled Busy. Free/busy, Find a time, and an appointment schedule that checks that mirror calendar then treat those holds as busy time, without source titles. $1.50/month or $9/year after a 30-day free trial, no credit card required.
- Holds are titled Busy. Description, location, attendees, and conference data are left empty, so source meeting details stay on the source calendar.
- Each hold occupies the time. Resync sets that availability on the hold. It does not copy the source title.
- If a source event moves, Resync updates the hold. If the event is cancelled, marked free, declined, or is a working-location event, Resync does not keep a hold.
- Resync looks 90 days ahead when it reads source events. It watches source calendars with Google push notifications and updates holds when those events change. A polling fallback also runs about every 5 minutes. Read-only calendars cannot be mirrors. Resync currently syncs Google calendars only.
- If you delete or edit a hold, Resync records that and does not recreate it for the same source event on that mirror.
- If the source event is Private, the hold is Private. Otherwise the hold uses default visibility.
Appointment-schedule Help only hides slots for Busy events on calendars that schedule reviews. Secondary calendars need an eligible Workspace or Google One plan. Resync can write a hold onto a calendar that page already checks. It cannot make the booking page check a calendar that account cannot see.
Set up Resync
- Sign in with GoogleOpen Resync and sign in with the Google account you want as your primary account. You land on setup.
- Connect another Google accountChoose Connect another Google account and finish Google's permission screen. Resync needs at least two Google accounts before you can start.
- Start syncingWhen a second account is connected, setup shows bidirectional mirroring as the intended default: real events on either side become private busy blocks on the other. Choose Start syncing to open the dashboard.
- Mark sources and mirrorsIn Sync configuration, turn on Source to read busy time from a calendar and Mirror to receive Busy holds. A calendar can be both. Read-only calendars cannot be mirrors because Resync needs write access to create holds. People who check the mirror calendar then see those holds as busy time.
FAQ
How do I show my availability in Google Calendar?
Share the calendar with See only free/busy (hide details) so specific people, your organization, or the public can see when you are busy without event names. Send a bookable link with an appointment schedule if people should pick a slot. Set working hours and location on a work or school account so others see when you are usually unavailable. Those settings do not write Busy events. Google Calendar Help documents sharing and working hours on a computer.
How do I check someone else's Google Calendar availability?
They have to share that calendar with you, make it available to your organization, or make it available to the public. On a computer, create an event, add guests, then click Find a time. You can compare up to 50 guest schedules. In the Calendar app, add guests and tap View schedules. You cannot add other people's calendars from the app. Suggested times needs an eligible Workspace plan and is documented on a computer, not in the Calendar app. If they have not shared, Help says you can send a request to share.
How do I share my Google Calendar availability with others?
On a computer, open Settings and sharing for that calendar. Under Shared with, add people or a Google group and choose See only free/busy (hide details). On a work or school account you can also turn on Make available for your organization. Make available to public lets anyone find the calendar. They get an email and must click the link. A work or school administrator can limit sharing. A bookable appointment-schedule link is a different path.
Does Google Calendar have an availability poll?
Google Calendar Help does not document a built-in group availability poll. Help does document Propose a new time on an existing invitation, next to Maybe, on a computer. You cannot propose a new time for all-day events or events with more than 200 guests. An appointment schedule is a bookable page of slots you publish, not a poll where guests vote on times.
Why does my Google Calendar availability look wrong to other people?
Events marked Free do not occupy the time. An all-day event only hides appointment-schedule slots when it is set to Busy. A declined event does not block those slots. Busy time on another Google account or an unshared calendar stays invisible. People only see free/busy if you shared that calendar with them, your organization, or the public. A wrong primary time zone shifts when events appear. Working hours are not Busy events.
How does Resync help if my events live on another Google account?
Resync uses the Google Calendar API with Google accounts you connect. It reads calendars you mark as Source and writes private holds titled Busy onto calendars you mark as Mirror. Description, location, attendees, and conference data stay empty. Holds occupy the time. Free/busy, Find a time, and an appointment schedule that checks that mirror calendar then see the hold. It skips free, declined, cancelled, and working-location events. It looks 90 days ahead. A polling fallback also runs about every 5 minutes. $1.50/month or $9/year after a 30-day free trial, no credit card required.
Connect the Google calendars you want to keep aligned, then mark sources and mirrors on the dashboard.
Resync will ask Google for permission to:see your list of calendars; see events on the calendars you choose as Sources, to know when you're busy; and create, update and delete events titled "Busy" on calendars you choose as Mirrors. We never store event titles, attendees or locations. Privacy policy
