Google Calendar appointment schedule: set up & fixes

Short answer: a Google Calendar appointment schedule is a booking page you create in Calendar. You publish times (slots) you are available. Other people open the link, pick a slot, and the booking is added to your calendar. The booking page can hide times when you are busy on calendars that the same Google account can see, if you turn on Check calendars for availability. You create one on a computer from Create → Appointment schedule. You cannot create it in the Calendar app for Android or iPhone and iPad. A personal Google Account or Workspace Business Starter can create a single booking page. Workspace Frontline, Essentials, or an older subscription that is no longer offered cannot create appointment schedules. Some features need an eligible Google Workspace or Google One subscription.

Resync copies private Busy holds between your own Google calendars so the account that hosts the booking page sees busy time from your other Google account. It does not create appointment schedules, booking pages, or slots, and it does not work with Outlook, Apple Calendar, or iCloud. Use Resync when people book over events that live on another of your Google calendars.

Quick diagnosis

Start on calendar.google.com in a browser on a computer. Appointment schedules are a booking page, not the Working hours setting. If Create does not show Appointment schedule, fix the account or edition before you look for missing slots. If people still book over meetings that live on another Google account, that is not a missing-slot problem. The schedule only checks calendars that same Google account can see.

What an appointment schedule is

Google Calendar Help says appointment schedules let you manage your availability and let people book time with you directly in Google Calendar. You create a booking page that contains the times you are available, share a link or embed it on a website, and a booking is added to your calendar. To avoid conflicts, the booking page blocks off times when you are not available.

  • The title is visible to anyone who has the booking page link. It also appears on your calendar for the schedule and incoming bookings.
  • You set appointment duration, including a custom duration, and general availability: date, time, and time zone.
  • The scheduling window limits how far in advance and how close to the start people can book. The default minimum lead time is 4 hours.
  • Booked appointment settings include buffer time between appointments, a maximum number of bookings per day, and guest permissions so guests can invite others.
  • You can send up to 5 confirmation or reminder emails. Help says you cannot edit the reminder email text. Automatic email reminders are listed as a premium feature.
  • You cannot add appointments to resource calendars.

An appointment schedule does not write a hold onto a different Google account. Resync does not create this booking page.

How to create one

Google Calendar Help documents create an appointment schedule on a computer. You need a personal Google Account or a Workspace account, and a computer with a supported web browser. You cannot create an appointment schedule in the Calendar app for Android or iPhone and iPad.

On a computer:

  1. On a computer, open Google Calendar.
  2. At the top left, click Create.
  3. Select Appointment schedule.
  4. On the left, in the Bookable appointment schedule panel, set up your appointment settings.
  5. Click Next.
  6. Set up your booking page settings, then click Save.

Help also lets you start from the Booking pages section: click Create appointment schedule. For eligible Workspace accounts, Calendar can automatically generate a booking page based on weekday availability that does not show times when you are busy.

  • If you need to add a schedule on mobile or iOS, use a computer. Help does not document Create → Appointment schedule in the Calendar app.
  • Help does not document creating an appointment schedule in Apple Calendar or Outlook. Use Google Calendar on a computer.
  • A regular event titled Office hours is not this feature. It will not publish a booking page or slots.
  • Resync does not create appointment schedules and does not publish booking page links.

Personal Gmail vs Workspace

Google Calendar Help is specific about who can create a schedule and who gets extra features. Compare premium features says:

  • A personal Google Account or a Workspace Business Starter plan can create a single booking page.
  • Workspace Frontline, Essentials, or an older Google Workspace subscription that is no longer offered cannot create appointment schedules.
  • Some features require an eligible Google Workspace or Google One subscription. Help lists those features as: create more than one appointment schedule, send automatic email reminders, check availability across multiple calendars, accept payments for appointments, verify emails to prevent spam bookings, add appointment schedules to secondary calendars, and add up to 20 co-hosts.

That list is the documented account rule. Help does not publish prices for those subscriptions on the appointment schedule pages. If Create does not show Appointment schedule, you may be on Frontline, Essentials, or an older edition. Ask your administrator which subscription you have.

Checking availability from secondary calendars also needs an eligible Google Workspace or Google One plan. Seeing both a work and a personal calendar in one view is in the multiple accounts guide.

Google Calendar Help steps checked Nov 3, 2026. Cited from Compare premium features for appointment schedules and Create an appointment schedule.

Google Calendar Help says your booking page is always public. Anyone with the link can view the booking page, your profile photo, and your account name. For secondary calendars, booking pages do not show a photo.

On a computer:

  1. Open Google Calendar.
  2. On the left, under Booking pages, hover over the booking page you want to share.
  3. Click Copy link.

To embed a button or an inline booking page on a website: hover over the page, click Options → Sharing options → Website embed, choose All booking pages or A single booking page, then copy the code. To find schedules on secondary calendars, turn that calendar on in the calendar list. That does not change whether the booking page itself is public.

Edit, buffer time, and max bookings

To edit your appointment schedule: on a computer, open Google Calendar, hover over the schedule under Booking pages, click Options → Edit, and save your changes. You can also click an open time slot, choose Appointment schedule, and add availability to an existing schedule.

Update your availability to change the scheduling window, start and end dates for a recurring schedule, or a specific date. Under Booked appointment settings:

  • Buffer time: check the box and enter time between appointments so they are not back to back.
  • Maximum bookings per day: check the box and enter the limit. Help says appointment times may not show up after that limit.

You can hide a schedule from the calendar grid without turning bookings off. Help says if the schedule is hidden, booked appointments still appear, and others can still book. If you create or edit a schedule, a hidden schedule appears again. Booked appointments are never hidden on the grid.

Check calendars for availability

Google Calendar Help says you can check your availability across calendars to prevent conflicts. That includes your primary calendar and calendars you own, manage, or are subscribed to. Checking secondary calendars needs an eligible Google Workspace or Google One plan.

On a computer:

  1. Open Google Calendar.
  2. Click an existing appointment schedule, then Edit.
  3. Click Calendars.
  4. Select the calendars you want to check for conflicts.

When Check calendars for availability is on, appointment times during Busy events do not show on the booking page. No times show on days with an all-day Busy event. If you RSVP Yes or Maybe to an event on a reviewed calendar, that block does not appear as open. Unaccepted or tentative events do not block appointment availability.

When the option is off, Help says all time blocks appear as open, even if you have a Busy event or accept a non-appointment event. Each appointment time can still be booked only once. If the schedule is on a shared calendar, it may not be possible to select other calendars for conflicts.

This still only sees calendars the same Google account can see. A second Google account, such as personal plus work, is not checked unless that calendar is shared or subscribed into the account that hosts the booking page. Resync can write a private Busy hold onto that hosting calendar so the booking page sees the busy time.

Time zones

When you create a schedule, Help says to set the date, time, and time zone of your appointments under General availability. If slots look shifted, check that setting first.

Also check Calendar's primary time zone: Settings → Time zone → Primary time zone. Help says when you create an event, it appears in your local time zone and shows in the local time zones for anyone you invite. If an area switches time zone, events created before Calendar knew about the change might be in the wrong time zone.

If the booking page looks free at the wrong hour, fix the schedule time zone and the Calendar primary time zone. Do not assume the booker's phone is the source of truth until those two settings match the times you meant to publish.

Multiple attendees and co-hosts

Google Calendar Help says each appointment time on a booking page can only be booked once, even when Check calendars for availability is off. That is the documented slot rule. Help does not document a capacity setting that lets several people independently book the same slot.

Guest permissions can allow guests to invite others to an appointment after they book. That is not the same as opening one slot to many separate bookings.

Co-hosts are extra hosts on the appointment. Help says you can enter co-host names or email addresses, or add Google Groups directly. As a co-host, you cannot add groups or users outside of your domain. Adding up to 20 co-hosts is listed as a premium feature. By default, appointment schedules do not check co-host availability. Include co-hosts' calendars in availability checks to prevent double-bookings.

For schedules on the primary calendar, you, co-hosts, and the person who booked get an email notification. For secondary calendars, the co-hosts and the person who booked get the email.

Appointment schedules vs Calendly

These are different booking tools. They are not interchangeable.

  • A Google Calendar appointment schedule is Calendar's own booking page. You publish slots, share a link or embed it, and a booking is added to your calendar. It can check calendars the same Google account can see.
  • Calendly is a separate booking product. It checks calendars you connect to Calendly. Setup and conflict gaps for that product are in the Calendly double booking guide.
  • Working hours warn invitees outside a weekly pattern. They are not a booking page and do not let people reserve a slot.

Both a Calendar booking page and Calendly only see the calendars they are set to check. Neither writes a Busy hold onto a second Google account by itself. Resync is not a booking page and does not create appointment schedules or Calendly event types.

When Resync helps (and when it does not)

Use the steps above when the problem is the appointment schedule, a personal versus Workspace account, the booking page link, buffer time, max bookings, availability checks, time zones, co-hosts, or Calendly. Resync does not create appointment schedules, booking pages, or slots. It does not sync Outlook, Apple Calendar, or iCloud.

Use Resync when people book over events that live on another of your Google calendars. An appointment schedule only checks calendars that the same Google account can see. If you have a second Google account, events there will not block slots unless that calendar is shared into the hosting account. Resync copies private Busy holds between your own Google calendars so the account hosting the booking page sees the busy time. It reads when you are busy on Google calendars you mark as sources and writes hold events onto Google calendars you mark as mirrors. $1.50/month or $9/year after a 30-day free trial, no credit card required.

  • Holds are titled Busy. Description, location, attendees, and conference data are left empty, so source meeting details stay on the source calendar.
  • When you mark calendars as both source and mirror, a booking on either calendar becomes a Busy hold on the others. That is two-way blocking between those Google calendars.
  • If a source event moves, Resync updates the hold. If the event is cancelled, marked free, declined, or is a working-location event, Resync does not keep a hold.
  • Resync looks 90 days ahead when it reads source events. Holds it writes are marked so they are not copied again.
  • Resync watches source calendars with Google push notifications and updates holds when those events change. A polling fallback also runs about every 5 minutes.
  • If you delete or edit a hold, Resync records that and does not recreate it for the same source event on that mirror.
  • Read-only calendars cannot be mirrors. Resync currently syncs Google calendars only.

Set up Resync

  1. Sign in with GoogleOpen Resync and sign in with the Google account you want as your primary account. You land on setup.
  2. Connect another Google accountChoose Connect another Google account and finish Google's permission screen. Resync needs at least two Google accounts before you can start.
  3. Start syncingWhen a second account is connected, setup shows bidirectional mirroring as the intended default: real events on either side become private busy blocks on the other. Choose Start syncing to open the dashboard.
  4. Mark sources and mirrorsIn Sync configuration, turn on Source to read busy time from a calendar and Mirror to receive Busy holds. A calendar can be both. Read-only calendars cannot be mirrors because Resync needs write access to create holds.

FAQ

How do I create a Google Calendar appointment schedule?

Google Calendar Help says: on a computer, open Google Calendar, click Create, then Appointment schedule. In the Bookable appointment schedule panel, set the title, duration, general availability including the time zone, scheduling window, buffer time, maximum bookings per day, calendars, and co-hosts. Click Next, set up the booking page, and click Save. You need a personal Google Account or a Workspace account, and a computer with a supported browser. You cannot create an appointment schedule in the Calendar app for Android or iPhone and iPad.

How do I share my Google Calendar appointment schedule link?

Google Calendar Help says the booking page is always public. Anyone with the link can view the booking page, your profile photo, and your account name. On a computer, open Google Calendar. On the left, under Booking pages, hover over the booking page and click Copy link. You can also embed a button or an inline booking page on a website from Options → Sharing options → Website embed. You can share one booking page or all booking pages on your primary calendar.

Why are Google Calendar appointment schedule slots not showing up?

Google Calendar Help documents several causes. By default there is a 4-hour minimum lead time, so the current day may show no slots right after you set the page up. Check the scheduling window: the maximum time in advance and the minimum lead time. If you set Maximum bookings per day, slots hide after that limit. If Check calendars for availability is on, Busy events and all-day Busy days do not show as open, and a Yes or Maybe RSVP hides that block. Unaccepted or tentative events do not block availability. You cannot create a schedule in the Calendar app. Workspace Frontline, Essentials, or an older subscription that is no longer offered cannot create appointment schedules.

Can multiple attendees book the same Google Calendar appointment slot?

Google Calendar Help says each appointment time on a booking page can only be booked once, even if Check calendars for availability is off. Guest permissions can allow guests to invite others to an appointment after they book. Co-hosts are extra hosts: enter names or email addresses, or add Google Groups. As a co-host you cannot add groups or users outside your domain. Adding up to 20 co-hosts is listed as a premium feature. By default, appointment schedules do not check co-host availability. Include co-hosts' calendars in availability checks to prevent double-bookings.

How is a Google Calendar appointment schedule different from Calendly?

A Google Calendar appointment schedule is Calendar's own booking page: you publish slots, share a link or embed it, and a booking is added to your calendar. Calendly is a separate booking product. Both only see calendars they are set to check. An appointment schedule only checks calendars the same Google account can see. Calendly only checks calendars you connect to Calendly. Neither writes Busy holds onto a second Google account by itself. Resync is not a booking page and does not create appointment schedules.

Does Resync create appointment schedules or stop double-booking from another Google account?

No. Resync does not create appointment schedules, booking pages, or slots, and it does not work with Outlook, Apple Calendar, or iCloud. It only creates Google-only private Busy holds between a user's own Google Calendars. An appointment schedule only checks calendars that same Google account can see. If you have a second Google account, events there will not block slots unless that calendar is shared into the hosting account, or Resync writes a Busy hold onto the calendar the booking page checks. $1.50/month or $9/year after a 30-day free trial, no credit card required.

Connect the Google calendars you want to keep aligned, then mark sources and mirrors on the dashboard.

Resync will ask Google for permission to:see your list of calendars; see events on the calendars you choose as Sources, to know when you're busy; and create, update and delete events titled "Busy" on calendars you choose as Mirrors. We never store event titles, attendees or locations. Privacy policy
