Google Calendar focus time: set up & fixes

Short answer: a Focus time event reserves a start-to-end slot on that calendar so you can reduce distractions while you work. You can automatically decline meetings during it and optionally mute Google Chat with Do not disturb. The event is marked with headphones and can show an In focus time status in Chat if an admin allows it. Google Calendar Help documents Focus time for eligible work or school accounts. You create it on a computer from Day or Week view. The Google Calendar app on Android or iPhone and iPad can edit or delete an existing Focus time event after you create it on a computer. If you do not see Focus time, you may be on a personal Gmail account, an unsupported Workspace edition, or your admin turned it off.

Resync copies private Busy holds between your own Google calendars so focus time or an event on one Google calendar blocks time on your other Google calendar. It does not create Focus time events, auto-decline meetings, or work with Outlook, Apple Calendar, or iCloud. Use Resync when people book over events that live on another of your Google calendars.

Quick diagnosis

Start on calendar.google.com in a browser on a computer. Focus time is an event type, not a Settings toggle. Help says you can only create it from Day and Week views, and it must have a start and end time. If the event editor does not show Focus time, fix the account, edition, or view before you look for a missing block on the grid. If people still book over meetings that live on another Google calendar, that is not a Focus time problem.

What Focus time does

Google Calendar Help says you can schedule a focus time event to reduce distractions while you work. When you schedule it, you can mute Chat notifications and automatically decline meetings. That is the feature: a timed event on that calendar, optional auto-decline, optional Chat Do not disturb, and a visible Focus time block.

  • The event must have a specific start and end time. Help says you can only create it from Day and Week views.
  • You can automatically decline meetings during Focus time. By default, Focus time declines new and existing meetings. You can change that to Only new meeting invitations.
  • You can mute Google Chat notifications with Do not disturb. The first time you use Focus time, Do not disturb is on by default. If you deselect it, that becomes the default for new Focus time events.
  • Focus time events are marked with headphones. Other people only see the event if they can access the calendar. Help also lets you set the event to Public or Private.
  • Google Chat Help says Workspace Chat can show Calendar status such as In focus time. Google Workspace Admin Help lets an admin turn automatic Calendar status display off, including In focus time according to their Calendar status.

Focus time does not write a hold onto a different Google account. Resync does not create this event type.

How to set Focus time

Google Calendar Help documents schedule focus time on a computer. Important: you can only create Focus time events from Day and Week views, and the events must have a specific start and end time.

On a computer:

  1. On your computer, open Google Calendar.
  2. Click the time you want to schedule focus time.
  3. At the top of the event, click Focus time.
  4. Select when you want your event to begin and end.
  5. Set your focus time preferences. To receive notifications for Chat messages, next to Do not disturb, deselect the box. To automatically decline meetings during focus time, next to Automatically decline meetings, check the box.
  6. Click Save.

To repeat a Focus time event: click the event, click Edit, next to Does not repeat click the Down arrow, select how often you want to repeat it, and click Save.

In the Google Calendar app on Android or iPhone and iPad:

Help does not document creating Focus time in the app. The Android and iPhone and iPad Help pages say: to edit or delete a Focus time event from your mobile device, you must first create the event on a computer.

  1. Open the Google Calendar app.
  2. Tap a Focus time event. Focus time events are marked with headphones.
  3. To edit it, tap Edit, make your edits, and tap Save. To delete it, tap More options, then Delete.
  • If you need to add Focus time on mobile or iOS, use a computer. Help does not document Create → Focus time in the Calendar app.
  • Help does not document creating Focus time in Apple Calendar or Outlook. Use Google Calendar on a computer.
  • A regular event titled Focus time is not this feature. It will not use Focus time decline or Chat settings.
  • Resync does not create Focus time events and does not auto-decline meetings.

Personal Gmail vs Workspace

Google Calendar Help says to schedule a Focus time event, you need an eligible work or school account:

  • Google Workspace for Business Standard and Plus
  • Google Workspace for Enterprise Standard and Plus
  • Google Workspace for Education
  • Google Workspace for Nonprofits

That list is the documented account rule. A personal Gmail account is not on it. "No Focus time in Google Calendar" usually means a personal account, an unsupported Workspace edition, or the admin turned it off. It can also mean you are looking in the Calendar app or in Month view.

If you are on a work or school account and still do not see Focus time, treat it the same way as a missing working-hours option: ask your administrator. Do not assume a hidden toggle in another Google app. Seeing both a work and a personal calendar in one view is in the multiple accounts guide.

Calendar status in Chat is a separate admin setting. Google Chat Help says your administrator controls status options such as Out of office or In focus time, and whether Calendar status is automatically displayed in Chat.

Decline meetings and Chat

Google Calendar Help says you can automatically decline meetings during Focus time. Next to Automatically decline meetings, check the box when you create the event. By default, Focus time declines new and existing meetings. You can change that to Only decline new meetings.

To change how meetings are declined: click the Focus time event, click Edit, and under Automatically decline meetings select:

  • Only new meeting invitations: later invites that overlap the Focus time window are declined. Meetings already on the calendar stay unless you decline them yourself.
  • New and existing meetings: Calendar declines overlapping meetings already on the calendar and new invitations during that time.

Focus time Help does not document editing a custom decline message. Out of office Help does let you edit a decline message. That is a different event type. Setup for Out of office is in the Google Calendar out of office: set up & fixes guide.

For Chat, Help says you can only choose to mute Chat notifications if your organization turns on Chat and the Focus time block is less than 24 hours. The first time you use Focus time, Do not disturb for Chat notifications is turned on by default. When you create or edit Focus time, you can turn Chat notifications off. If you deselect Do not disturb, it becomes the default setting for new Focus time events.

Resync does not decline meetings and does not mute Chat.

Change an event to Focus time

Google Calendar Help does not document converting an existing regular event into Focus time. Help says to create Focus time from Day or Week view by clicking a time and choosing Focus time at the top of the event.

If you already saved a regular event, even one titled Focus time, that is still a regular event. It will not automatically decline meetings or mute Chat the way Focus time does. Create a new Focus time event for that slot, then delete or edit the regular event if you no longer need it.

You can still edit a Focus time event after you save it: click the event (headphones), click Edit, change the times, decline settings, repeat rule, visibility, or color, and click Save. Help says your color selection is saved for future Focus time events.

Focus time not showing

If Focus time is missing from the event editor, or other people do not see it, work through the table above. These are the usual causes documented in Google Calendar Help.

  • Personal Gmail, an unsupported Workspace edition, or a work or school account where the admin turned the option off. Help lists Business Standard and Plus, Enterprise Standard and Plus, Education, and Nonprofits.
  • You created a regular event and named it Focus time. That is not the Focus time event type.
  • You are looking in the Google Calendar app. Help does not document creating Focus time on Android or iPhone. Create it on a computer, then the app can show the headphones event.
  • You are not in Day or Week view, or you clicked an all-day slot. Help requires a specific start and end time.
  • Wrong calendar or Google account. Check the account in the top right and the calendar checkbox in the left list.
  • Other people only see Focus time if they can see your calendar. Share your calendar first. Chat status also depends on admin Calendar status display.
  • Recurring Focus time stays Does not repeat until you choose a frequency.

If the real problem is that people book over events that live on another Google calendar, Focus time will not fix that. See How to avoid double booking across Google Calendars.

Focus time vs Out of office vs Working hours

These are different tools. They are not interchangeable.

  • Working hours are a recurring weekly availability pattern on a work or school account. They warn invitees who try to schedule outside those times. They do not block time, create busy events, or decline meetings. You can only turn them on from a computer.
  • Out of office is an event. Help says it automatically declines all meetings during that time. You can edit the decline message, cover multiple days, and create it on a computer or in the Google Calendar app.
  • Focus time is an event on an eligible work or school account. You create it from Day and Week views on a computer. The event must have a start and end time. You can automatically decline meetings and mute Chat notifications. By default, Focus time declines new and existing meetings. Help does not document creating it in the Calendar app.

None of these writes a hold onto a different Google account. Setup for Out of office is in the Google Calendar out of office: set up & fixes guide. Working hours setup is in Google Calendar working hours: set up & fixes. Resync does not create Focus time, Out of office, or working hours.

When Resync helps (and when it does not)

Use the steps above when the problem is the Focus time event, a personal versus Workspace account, decline settings, Chat Do not disturb, Out of office, or working hours. Resync does not create Focus time events, auto-decline meetings, or mute Chat. It does not sync Outlook, Apple Calendar, or iCloud.

Use Resync when people book over events that live on another of your Google calendars. Focus time on one account does not stop that. Resync copies private Busy holds between your own Google calendars so focus time or an event on one Google calendar blocks time on your other Google calendar. It reads when you are busy on Google calendars you mark as sources and writes hold events onto Google calendars you mark as mirrors. $1.50/month or $9/year after a 30-day free trial, no credit card required.

  • Holds are titled Busy. Description, location, attendees, and conference data are left empty, so source meeting details stay on the source calendar.
  • When you mark calendars as both source and mirror, a booking on either calendar becomes a Busy hold on the others. That is two-way blocking between those Google calendars.
  • If a source event moves, Resync updates the hold. If the event is cancelled, marked free, declined, or is a working-location event, Resync does not keep a hold.
  • Resync looks 90 days ahead when it reads source events. Holds it writes are marked so they are not copied again.
  • Resync watches source calendars with Google push notifications and updates holds when those events change. A polling fallback also runs about every 5 minutes.
  • If you delete or edit a hold, Resync records that and does not recreate it for the same source event on that mirror.
  • Read-only calendars cannot be mirrors. Resync currently syncs Google calendars only.

Set up Resync

  1. Sign in with GoogleOpen Resync and sign in with the Google account you want as your primary account. You land on setup.
  2. Connect another Google accountChoose Connect another Google account and finish Google's permission screen. Resync needs at least two Google accounts before you can start.
  3. Start syncingWhen a second account is connected, setup shows bidirectional mirroring as the intended default: real events on either side become private busy blocks on the other. Choose Start syncing to open the dashboard.
  4. Mark sources and mirrorsIn Sync configuration, turn on Source to read busy time from a calendar and Mirror to receive Busy holds. A calendar can be both. Read-only calendars cannot be mirrors because Resync needs write access to create holds.

FAQ

How do I add Focus time in Google Calendar?

Google Calendar Help says you can only create Focus time events from Day and Week views, and the event must have a specific start and end time. On a computer, open Google Calendar, click the time you want, click Focus time at the top of the event, set the start and end, optionally set Do not disturb and Automatically decline meetings, and click Save. To repeat it later, edit the event, use the menu next to Does not repeat, and choose a frequency.

How do I add Focus time on Google Calendar mobile (Android or iPhone)?

Google Calendar Help for Android and for iPhone and iPad does not include steps to create Focus time in the Google Calendar app. Those pages say: to edit or delete a Focus time event from your mobile device, you must first create the event on a computer. After that, open the Google Calendar app, tap the Focus time event (marked with headphones), then Edit or Delete. If you need to add Focus time, use a computer.

Why is there no Focus time in Google Calendar?

Google Calendar Help says you need an eligible work or school account: Google Workspace for Business Standard and Plus, Enterprise Standard and Plus, Education, and Nonprofits. Personal Gmail is not on that list. If Create or the event editor does not show Focus time, you may be on a personal Gmail account, an unsupported Workspace edition, or your admin turned it off. Also check that you are in Day or Week view on a computer. Help does not document creating Focus time in the Calendar app.

Does Focus time decline existing meetings or only new invitations?

Google Calendar Help says you can automatically decline meetings during Focus time. By default, Focus time declines new and existing meetings. You can change that under Automatically decline meetings to Only new meeting invitations, or keep New and existing meetings. Focus time Help does not document editing a custom decline message the way Out of office Help does.

Can I change an existing event to Focus time?

Google Calendar Help does not document converting a regular Event into Focus time. Help says to create Focus time from Day or Week view by clicking a time and choosing Focus time at the top of the event. A regular event titled Focus time is not this event type and will not use Focus time decline or Chat settings. Create a new Focus time event instead.

Does Resync create Focus time events or auto-decline meetings?

No. Resync does not create Focus time events, auto-decline meetings, or work with Outlook, Apple Calendar, or iCloud. It only creates Google-only private Busy holds between a user's own Google Calendars. Focus time or an event on one Google calendar can block time on your other Google calendar when Resync writes a Busy hold there. Focus time on one account does not do that by itself. $1.50/month or $9/year after a 30-day free trial, no credit card required.

Connect the Google calendars you want to keep aligned, then mark sources and mirrors on the dashboard.

Resync will ask Google for permission to:see your list of calendars; see events on the calendars you choose as Sources, to know when you're busy; and create, update and delete events titled "Busy" on calendars you choose as Mirrors. We never store event titles, attendees or locations. Privacy policy
